Phones get lost, laptops fail and accounts get locked. A backup means a single accident does not erase years of photos and documents.

The 3-2-1 approach

  • Keep 3 copies of your important files
  • Store them on 2 different types of storage
  • Keep 1 copy somewhere else, such as cloud storage or a drive at another location

Decide what matters

Start with irreplaceable items: family photos, tax records, contracts and ID scans. System files and apps can be reinstalled.

Use automatic backups

Most phones and computers have built-in backup tools, and cloud services can upload photos automatically. Automatic backups work better than relying on memory.

Add an external drive

An external hard drive or SSD gives you a local copy that does not depend on the internet. Run the backup on a regular schedule.

Protect sensitive files

Use a strong password and two-factor authentication on cloud accounts, and consider encrypting drives that hold private documents.

Test your backup

Once in a while, open a few files from the backup to confirm they restore correctly. A backup you have never tested is only a hope.

Set it up once, check it a few times a year, and your files will be much safer.

Storage worth considering

If you do not have an external drive yet, choose one with at least twice the capacity of the data you want to protect, and keep it somewhere other than your desk. You can browse external hard drives and portable SSDs on Amazon, or read our guide on how to choose an external hard drive for backups.
